Drive Easy Car Rentals, H. No: 4/217, Prabhu Waddo, Near Shree Shantadurga Temple, Calangute Main Market, Calangute, Goa 403516, runs this website and the self drive and chauffeur driven car rental service it describes. This page explains how we handle personal information, as the Digital Personal Data Protection Act, 2023, the Information Technology Act, 2000 and the rules under them ask us to. We keep it short and specific. If anything is unclear, please ask the owner, who is also our grievance officer; the details are in section 10.
1. What We Collect
When you send a request from this website: your name, mobile number, the car you want, pickup and drop locations, and pickup and drop dates and times. On the contact page, also your email address and your message.
When you call or WhatsApp us: your mobile number, your name and whatever you tell us about the trip. WhatsApp messages sit in the WhatsApp app on our phones. WhatsApp is run by Meta and has its own privacy policy.
At handover: your driving licence number and validity, the type and number of the photo ID you show, and a copy or photo of both. We also take photographs of the car, with you present, at handover and at return. For visitors from abroad, your passport and International Driving Permit details. We record who the second driver is, if there is one.
When you pay: the amount, the date and the payment method. For UPI we see the UPI ID or the transaction reference. For cards we see the last four digits on the machine receipt. We never see or store the full card number, the CVV or your PIN.
If something happens on the road: details of an accident, a challan or a breakdown, and any police or insurance paperwork that follows.
We do not ask for your caste, religion, health details or any other sensitive information, and we do not collect information about children. Our service is for drivers aged 21 and above.
2. What This Website Collects on Its Own
- Server logs. Like every website, our hosting server records the IP address, browser type and pages requested. These logs are used only to keep the site running and secure.
- Booking requests. The booking and contact forms send your details to us by email. Nothing you type is stored in a database on this website, and no payment is ever taken here.
- Your form details on the thank you page. After you send a form, the details you typed are held in your browser's session storage for the thank you page, so it can greet you and record the enquiry. They are cleared when you close the tab.
- Where you came from. If you reach the site from an advertisement or a tagged link, the click reference and campaign tags in the address are kept in a cookie and in your browser's local storage (named de_attr) for 90 days, so that an enquiry you send later can be matched to that advertisement. This holds no personal details.
- Google Tag Manager and Google Ads. We advertise on Google, and we use Google's tools to count how many people who click an advertisement then call us, message us on WhatsApp or send a form. Google sets its own cookies for this. After you send a form, the name, mobile number and email you typed are passed to Google's conversion tag on the thank you page, which scrambles them (SHA-256 hashing) in your browser before anything reaches Google, so that Google can match the enquiry to the advertisement. You can read how Google uses this data at policies.google.com/technologies/ads.
- Google Maps is embedded on our contact page. When that page loads, Google may set cookies under its own policy.
- Google reviews shown on this site are taken from our public Google Business listing, exactly as their authors wrote them.
You can block cookies in your browser settings. The site will still work, and the booking form will still work, because it does not depend on any cookie.
3. Why We Use Your Information
- To call you back, confirm the booking and deliver the car to the right place at the right time.
- To check that the driver is licensed, as the law requires, and to keep the rental record that the rules for self drive rental vehicles require.
- To take the deposit, refund it, and settle any fuel, damage or fine in a way we can both check against photos.
- To answer the police or the transport department when a challan or an accident is linked to a car you rented.
- To spot and stop fraud, for example false documents or a booking made in someone else's name.
- To protect our rights and enforce our terms and conditions if there is a dispute about a rental.
- To keep our accounts, and to meet tax and GST requirements.
- To measure whether our advertising works, as explained in section 2.
- To send you a message about your booking, or a reminder before pickup. We do not send marketing messages, newsletters or promotional WhatsApp broadcasts.
4. Who We Share It With
We do not sell your information and we do not give it to anyone for their own marketing. It is shared only with:
- our own team and drivers, to the extent needed to hand over and collect the car;
- Google, as described in section 2, for advertising measurement only;
- the police, the transport department or a court, where the law requires it or where a challan, accident or theft is linked to your rental;
- our insurer and their surveyor, if a claim is made for damage during your rental;
- our bank and payment providers, to take payments and send refunds;
- our lawyer or adviser, if there is a dispute about a rental;
- our email and hosting providers, who process the data on our behalf and are not permitted to use it for anything else.
5. How Long We Keep It
- A request that does not turn into a booking is deleted within 12 months.
- Booking and rental records, including the licence copy and the handover photos, are kept for as long as motor vehicle, tax and GST law require, and then deleted.
- Records linked to an accident, a challan or a dispute are kept until the matter is closed.
- Server logs are kept for a short period by our hosting provider and then rotated.
- The hashed details passed to Google Ads are kept by Google under its own retention rules.
When a record is no longer needed, we delete it or remove the details that identify you.
6. Your Rights
Under the Digital Personal Data Protection Act, 2023 you can:
- ask what personal information we hold about you, and get a copy;
- ask us to correct or update it;
- ask us to delete it, once we no longer need it for a rental in progress or for a legal requirement;
- withdraw consent for anything that is based on consent, for example a reminder message;
- nominate another person to exercise these rights for you if you are unable to;
- complain to us, and if we do not resolve it, to the Data Protection Board of India.
To use any of these, send a WhatsApp message to 70289 55080 or an email to [email protected] from the number or address you booked with. We reply within seven days and act on the request within thirty days.
7. How We Protect It
This website runs on HTTPS, form data is sent to us by email over an encrypted connection, and lead details are never placed in a web address. Licence copies and payment records are kept on our own devices and in our office, with access limited to the people who need them. No system is perfectly secure, and if we ever learn of a breach that affects you we will tell you, and the Data Protection Board, as the law requires.
8. Where the Data Is Kept
Our records are kept in India. Google's servers may be outside India; Google's transfers are covered by its own policies and by the permissions Indian law gives.
9. Changes to This Policy
If we change how we handle personal information, we update this page and the date at the top. For a change that matters to a booking already made, we tell you directly.
